Mobility procedures
Beneficiaries must complete all the formalities associated with the mobility programme and fill in all the documents required for these procedures. The document templates are available to download from the call for applicats website and the Student Mobility Portal. The International Centre will provide information and support to help with these procedures, but students are responsible for keeping track of them.
Before the mobility:

Upon accepting your assigned seat, you must complete the Banking and Contact Details Communication form, available on the Mobility Portal, and attach the following documents:
- A bank account ownership certificate for an account held in the student's name (PDF file). The certificate must include the following information: the student's full name, ID number, bank account number, IBAN, and the SWIFT/BIC code of the bank.
- If you wish to apply for the grant for students with fewer opportunities, you must provide supporting documentation demonstrating that you meet one or more of the eligibility criteria specified in the call for application
- Student Mobility Certificate: This document identifies you as a URV mobility student. You can download it from the Mobility Portal.
- Admission to the host university: The International Centre nominates the selected students to their host universities. However, some universities may require students to complete additional procedures or register through a specific process. Please note that it is the student's responsibility to complete these requirements and submit any documentation requested by the host institution. From this point onwards, you are responsible for following the host university's admission procedure and maintaining communication with the institution.
On the Mobility Portal, you will find access to all the procedures and documents that must be completed BEFORE your mobility period:
- Mobility Questionnaire: We would like to hear your feedback on the mobility programmes offered by the URV. Please complete the questionnaire available on the Mobility Portal (MANDATORY).
- Learning Agreement: Before your departure, you must agree with your mobility coordinator on the courses you will take at the host institution and their academic recognition at the URV. This document sets out the courses that will be included in your mobility enrolment. It must be signed by all parties before the start of your mobility period: you, the URV mobility coordinator, and the coordinator at the host institution. Please use the Learning Agreement corresponding to your mobility programme. (MANDATORY)
- Intercultural Awareness Course - Ready, Set, Go!: This course is delivered through Moodle. Access the Mobility Portal to find the link and complete the course. (MANDATORY)
- Grant Agreement: Before your departure, you must sign the Grant Agreement, which sets out the terms and conditions of your participation in the Erasmus+ programme. You will receive the document via your university email account. The signed agreement must be either submitted to the International Centre or uploaded to the Mobility Portal in accordance with the established requirements. (MANDATORY)
- Mobility Insurance: The URV provides all mobility students with insurance coverage for the entire duration of their stay. The insurance certificate and instructions for use will be sent by email a few days before your departure. Please review the insurance coverage details carefully.
- Online Linguistic Support (OLS): You may take an online language assessment test through the EU Academy to evaluate your proficiency in the language used during your mobility period. This is an optional procedure. Once completed, upload proof of your result to the Mobility Portal.
- Visa and Legal Requirements: You are responsible for checking and completing any visa, immigration, or other legal requirements applicable to your destination country, according to your nationality.
- Withdrawal: If you decide not to participate in your mobility programme, you must complete the Withdrawal Form as soon as possible and always before the planned start date of your mobility period. This allows any available funding to be reassigned to another student on the waiting list. Please note that failure to notify your withdrawal before the scheduled start of the mobility period may result in a penalty in future mobility programme calls.
After your mobility period:

Within 15 days of the end of your mobility period, you must complete the mobility procedures.
On the Mobility Portal, you will find access to the AFTER MOBILITY form:
- Certificate of Attendance: A document signed and stamped by the host institution confirming the actual duration of your mobility period. This document is required to calculate and process the final grant payment (MANDATORY).
- Mobility Questionnaire: We would like to receive your feedback on your mobility experience. Please complete the questionnaire available on the Mobility Portal (MANDATORY).
- EU Survey: You will receive an email invitation to complete the survey online. (MANDATORY)
- Learning Agreement: Make sure that your Learning Agreement is up to date and has been approved by all parties. (MANDATORY)
- Transcript of Records: Your host institution will normally send the Transcript of Records directly to the URV. This document contains the results obtained during your mobility period and is required for the academic recognition of the courses completed abroad. If you receive the document yourself, please upload it to the Mobility Portal and send a copy to your mobility coordinator so that your academic record can be updated.
Any delay in submitting the required documentation or completing the procedures specified ad mandatory in this section will result in a delay in the payment of the corresponding financial support. Failure to submit the documentation required to justify the mobility period, or to complete the procedures specified as mandatory in this section, will result in the full reimbursement of any grants received by the studnet. In such cases, students will not be eligible for the academic recognition of thier mobility period.
Funding
Virtual activities are not eligible for mobility funding.
The allocation of grants is subject to the availability of funds within each mobility programme.
For activities that qualify for academic recognition (curricular placements), the full grant amount will be paid. Otherwise, the total grant amount will be subject to Personal Income Tax (IRPF) or Non-Resident Income Tax (IRNR). The current IRPF withholding rate applicable to students is a fixed rate of 2%. Students whose tax residence is outside Spain and who provide proof of this before payment is made (through a Tax Residency Certificate issued by the relevant country) will not be subject to any tax withholding. Otherwise, IRNR withholding will apply according to the country of residence: 19% for EU countries other than Spain and 24% for non-EU countries. If the student has an employment relationship with the URV, the corresponding tax withholding rate will apply. In any case, should tax withholding regulations change, the applicable IRPF rate in force at the time will be applied in accordance with current legislation.
