Coexistence mailbox
Introduction
Regulations governing coexistence at the Universitat Rovira i Virgilis, approved by the Governing Council on 27 April 2023, aim to promote understanding and positive coexistence within the University, while fostering and safeguarding respect for democratic values, fundamental rights and public freedoms across the university community.
Within this framework, the University has established a mailbox to facilitate the submission and processing of complaints or reports concerning conduct that may breach the coexistence regulations.
What are its objectives?
- Facilitate the reporting of conduct that breaches the coexistence regulations: the mailbox is designed to be easily accessible and understandable for all members of the university community (students, teaching and research staff, and technical, management, administrative and service staff).
- Guarantee confidentiality and data protection: the mailbox ensures the confidentiality of the information provided and the protection of personal data.
- Speed up the processing of complaints and reports: the mailbox enables complaints and reports to be handled quickly and efficiently.
- Promote a culture of non-violence, non-discrimination and respect for diversity: the mailbox helps prevent behaviour contrary to the coexistence regulations and encourages a positive culture of coexistence.

- Accessibility: the mailbox is available through various channels, such as a web platform, a mobile application or a dedicated email address.
- Confidentiality: the mailbox guarantees the confidentiality of the information provided and the protection of personal data.
- Impartiality: complaints and reports are handled impartially and objectively.
- Efficiency: complaints and reports are processed quickly and efficiently.
- Transparency: clear and accurate information is provided about the complaint-handling process.
How does it work?
1. Reporting coexistence-related incidents
- Anyone wishing to submit a complaint or report may do so by emailing bustia.convivencia@urv.cat.
- The complaint or report should include:
- Identification details of the person submitting the complaint or report (full name and national identity or residence document number).
- A description of the events giving rise to the complaint or report.
- The date and time of the events.
- The location where the events took place.
- Identification details of the person or persons against whom the complaint or report is made (if known).
- Any other information that may be relevant to processing the complaint or report.
2. Who handles the complaint?
- The URV Coexistence Committee, composed of six representatives from the different groups within the university community, with balanced representation of women and men wherever possible. The Committee acts in accordance with the principles of independence, autonomy and confidentiality.
3. How is the complaint handled?
- Once the complaint or report has been received, the URV Coexistence Committee will assess it and determine whether to initiate a preliminary inquiry.
- If a preliminary inquiry is opened, the Committee may request additional information from the person who submitted the complaint or report, as well as from the persons involved.
- The Committee may decide to initiate disciplinary proceedings if it considers that the reported facts may constitute a breach of the coexistence regulations.
- Responsibility for managing this mailbox lies with the University's designated officer for equality, diversity and wellbeing, who ensures that the necessary procedures and actions begin as soon as possible.
