Mobility Study Procedures

Information session on administrative procedures (Monday 7 March, 13.00)

Before you leave

1.- Acceptance of mobility: once the resolution of places has been published, you can accept or reject the mobility place assigned to you (as from the date specified in the specifications of the call). This procedure is carried out through the Mobility Space.

2.- If you accept the place assigned, you must fill in the Form of bank and contact details, and attach the following documentation:

  • Valid copy of DNI/NIE (pdf file) - Passport not accepted!
  • Copy of the first page of the bank book which shows your name as the holder, the current account number, the IBAN number and SWIFT/BIC code, and the address of the branch (pdf file)

3.- Online questionnaire: We want to know what you think about the URV mobility programmes. We will send you a questionnaire by email, and you can respond online. Your opinion helps us to improve every day. (COMPULSORY PROCEDURE).

4.- ISEP online application: Once you have been assigned the ISEP place, you have to make the ISEP online application. (COMPULSORY PROCEDURE).

  • ISEP Exchange: At this point, you must prioritise the 10 universities in the United States of the ISEP network where you would like to do your mobility visit, and list 4 subjects per semester for each of the universities you have chosen. During this process, you will have to attach, for example, your academic record in English (which you can request from the secretary's office of your faculty/school).
    • Placement fee: a payment that you must make when you make the ISEP online application.

TOEFL iBT test: To be admitted to a university in the United States you must prove your level of English by doing the TOEFL iBT. You must search for the exam day directly on the website http://www.ets.org/toefl. During the registration procedure for the TOEFL exam, you must ask for a copy of the result to be sent directly to the ISEP office in Washington (District of Columbia. ISEP code: 9250).

When? Before 15 February if you want to start mobility in the 1st semester (includes annual stays) or before 1 September if you start the stay in the 2nd semester.

5.- Admission to the host university: Approximately 6 weeks after sending the ISEP online application, you will be informed which of the 10 universities you have been assigned. From this point on, it is your responsibility to follow the admission procedure that the host university indicates to you and keep in contact until you are definitively admitted.

6.- Learning Agreement: Before leaving, you must agree with your mobility coordinator which subjects you will take at the host university and what their equivalence will be at the URV. This document lists the subjects you will have to register on for purposes of mobility. (COMPULSORY PROCEDURE)

You must send it to the International Center(ELIMINAR) before June, duly signed at least by you and your mobility coordinator.

7.- MOU-TE! course. Taught by the URV's Language Service

  • Optional for outgoing mobility students
  • Objective: to become aware of the importance of the values of interculturality and multilingualism.
  • Modality: virtual (Moodle)
  • Duration: 6 h
  • Teaching period: from 28th June to 12th July
  • Registration: from 2nd June (from 9 am) to 19th June (until 11:59 pm) at this link (see instructions on Moodle)
  • Cost: Free
  • Recognition: does not grant ECTS credits.
  • Organised by: I-Center and Language Service

8.- Intercultural training (COMPULSORY PROCEDURE): The course will be taught via Moodle. Soon to be opened.

9.- Mobility insurance: ISEP will provide you with medical insurance (cost approximately 73 dollars per month). The URV also provides all mobility students with insurance for the whole period of their stay. It is sent by email a few days before the start of the trip along with instructions for use. Check the insurance coverage (Type C).

10.- Visa and legal procedures: The United States does not belong to the European Union, so you must go through the procedures necessary to make a stay. You must apply for a visa at the Embassy of the United States of America in Madrid (https://es.usembassy.gov/). To do so, ISEP will send the International Center all the documentation you need for the day of the interview at the Embassy.

Renouncement: If you decide not to travel, you must submit the Renouncement Sheet, signed by you and the mobility coordinator, to the International Center as soon as possible and always before the scheduled start of the mobility. This way your funding can be awarded to a person who is on a waiting list. Please note that if you do not notify us before the scheduled start, you will be penalised in the next mobility call.

During the mobility

Within a maximum of 15 days after arriving at the host university, you must email mobility.out(ELIMINAR)@urv.cat the International Center the following documents in pdf format:

Certificate of stay with the date of arrival signed and stamped by the host university, which will be used to pay the grant. (COMPULSORY PROCEDURE).

Contact details, so the URV can get in touch with you during your stay.

Learning Agreement duly signed by the host university and the Changes to the Learning Agreement, if applicable.

URV AMBASSADORS

During your stay, host institutions may organise an international fair to publicise the partner institutions where they can send their students, such as the URV. If they do, the institution will ask the I-Center to send the URV's promotional materials necessary for the fair. Students from the URV who are on a mobility stay are often asked to take part in this fair. The I-Center contacts these students and sends them all the information they need to be URV ambassadors.

After the mobility

Within a maximum of 15 days after the end of your stay, you must send the following to the International Center:

Certificate of stay signed and stamped by the host university. This document specifies the actual length of your stay, and is used to justify the payment of the grant. (COMPULSORY PROCEDURE).

Learning Agreement signed by all parties. (COMPULSORY PROCEDURE).

Mobility assessment survey: provided by the International Center. Your feedback helps us improve every day. (COMPULSORY PROCEDURE).

For its part, ISEP will send your transcript of records to the International Center(ELIMINAR). This is the document that contains your qualifications and which serves to recognise the subjects you have taken during your stay.
