I have been admitted by the destination university to carry out a mobility, but I have doubts about the procedures I must carry out from now on.
We recommend you to carry out all the procedures for your mobility as planned: obtain admission to the destination University, prepare the Learning or Training Agreement and carry out the rest of the mandatory initial procedures indicated in the call.
In relation to the possible costs that you may incur to prepare your mobility, we recommend maximum caution before making any payment (accommodation, visas, flights) because there are no guarantees of reimbursement of the expenses you make if you subsequently decide or cannot make Mobility.
What procedures should I do to travel?
You should consult the updated official information on the entry of foreigners according to your destination, and you can also find useful information on the Ministry of Foreign Affairs website.
I want to go to a university that does not appear on the agreement list. What should I do?
If it does not appear on the list, it is because it does not have an agreement with the URV and, therefore, we cannot guarantee that you will be able to go to this institution. However, we are open to opening agreements with other universities, as long as they meet the criteria of institutional and academic affinity. If this is your case, consult with the International Center for more information, to see the deadlines and how it can be done.
Who can help me find a company to do an internship?
It is your responsibility to find a company to do the internship. However, you can consult it with your mobility coordinator and on the following International Center websites.
When will I receive payment for my mobility scholarship?
Payment for the different mobility aids is usually made in two instalments: the first, before starting the stay, provided that the necessary documentation has been presented; and the second and last payment, upon returning to the URV and completing the final mandatory procedures of the program. In the case of payment of the Santander Erasmus scholarship, it is paid in a single payment before the start of the mobility. In all cases, it is necessary to have completed all the procedures established in the corresponding call.
How can I find out the amount of my scholarship?
You can consult it in the financing section of the call's website. It must be taken into account that the amounts are updated each year and depend on the availability of funds.
What would be the financial consequences if I returned before the theoretical end date of my exchange period?
It will depend on the type of exchange and the length of the period spent abroad.
If the interruption is justified, you can receive the amount corresponding to the period of your actual stay in the host country.
Remember that, in any case, you must send the corresponding certificate of stay to justify it. Likewise, we recommend that you also keep flight/train receipts or other documents that prove that you have made the trip, in case they are required.
I have been assigned a mobility stay for the next academic year and the host university has not contacted me yet. What should I do?
Nominations to universities are sent between March and May, June in the case of the SICUE program. If you still do not have any news from your host university in May, you must inform the International Center immediately so that they can check the status of your nomination at the host university.
What would happen if I cannot arrive in time for the start of the semester at the host university?
You have to inform the host university and ask if it is possible to start the semester on another date. Make sure the International Center knows exactly the expected start and end dates of your stay.
If it is not possible to carry out my mobility stay in the first semester, can I postpone it to the second semester?
Yes, as long as you have confirmation from the destination university and your URV mobility coordinator. It is necessary to inform the International Center of this change through the Incident Sheet signed by you and the two mobility coordinators.
What should I do if I want to give up my mobility stay?
You must fill out this form specifying the reason.
What happens if I fail a subject at the host university?
You must take the second call at the host university, or repeat at the URV the credits that could not be validated.
How is credit validation carried out?
Once you have obtained the transcript of records from the university where you have completed your stay, and following what was agreed in the Learning Agreement or the Training Agreement, your mobility coordinator will incorporate them into your URV academic record.
Who should I go to if I have questions or a problem during my stay?
- Academic doubts (subject changes, validations...): to the academic coordinator of international mobility of your faculty at the URV.
- Questions about the payment of the scholarship, contact with the host university, the OLA (Online Learning Agreement) platform, or procedures: to the International Center at mobility.out@urv.cat
- Other logistical questions (accommodation, class schedule, schedule at the host university, etc.): most questions can be resolved at the International Relations Office of the host university, or on its own website.
- Questions about immigration: at the destination university itself, or on the website of the Spanish embassy or consulate of the country where you are.
How can I find accommodation in the destination country?
The host university is the one who must inform you about the accommodation possibilities in the destination country. You may be offered a place in a university residence; However, it is your responsibility to contact her to resolve any questions, reserve a place, or find accommodation.
Do I have to pay tuition at the host university?
No. International mobility exchange agreements exempt from paying tuition at the destination university. Therefore, you pay the registration fee at the URV, as if it were just another course. Some universities may request payment of a symbolic fee for opening a file or using sensitive material, as well as for taking language courses.
Keep in mind that there are certain specific agreements, such as summer schools or double degrees, in which academic fees are paid at the destination university.
Can I extend the period of stay?
Yes, it is possible as long as the mobility program allows it and depending on the time you have spent on mobility. Consult this possibility with the host university and the URV mobility coordinator, then you must inform the International Center.
I cannot accept/reject the place through the mobility student space.
Email us to mobility.internship@urv.cat saying whether you accept or reject the requested position, which you can consult in the Provisional Resolution of the call.
Can I do an internship if I have not participated in the corresponding call?
Yes, you must fill out the following online form: International stays for URV students (out of call), attaching the IC-5 document: this document must be signed by the destination company, the URV internship coordinator and the dean or director of your centre. Follow the instructions you will find in this link.
Who searches for the host company and manages the admission?
It is the student who must look for the company or institution where the internship will be carried out, as well as the submission of the documentation that may be required of you. You can ask for advice from the person responsible for internships at your centre or your mobility coordinator. Check here for information on available offers and programs, or also companies that have hosted colleagues in previous years.
Can I receive financial compensation for the tasks I will develop?
Yes, but it is not mandatory, although the company may consider some additional help in terms of gratuity, transport passes, meals, discounts on accommodation, etc. This aid is compatible with the Erasmus grant.
I have made the acceptance and I do not see that my application has changed status
Wait for your acceptance to be processed. If you continue to see that the status has not changed from Accepted to Confirmed, email mobilityinternship@urv.cat commenting on your case.
Will the host company provide accommodation?
The company is not obliged to provide you with accommodation. However, some companies usually provide information, and in some cases even offer places at their own residences, so it is advisable that you contact the company's internship manager.
Do I have to pay anything to the host company?
No, you shouldn't have to pay to do the internship. In any case, you should check with the host company before your stay, in case they ask for any amount for additional insurance, accommodation, etc.
Can I extend my mobility stay period?
Yes, the duration of the mobility must be a minimum of 2 months and a maximum of 12 months (before 30 September of the following course).
To request the extension you must send an email to mobility.internship@urv.cat with the Incidents Form (Erasmus / MOU) before the end of the planned stay.
What funding can I get?
If you have participated in the relevant mobility call, you may be eligible for Erasmus+ or Aurora funding. You can also supplement this support with other scholarship that are announced periodically. I’ve been informed that I’ve been granted a mobility placement: how do I accept it?
Go to the Online Acceptance application, follow the indicated steps, and upload the required documents: a copy of your valid DNI/NIE (both sides), and a copy of the first page of your bank book.
Can I withdraw from the mobility programme?
If you have encountered any inconvenience and have to give up your internship mobility place, you must fill out this form specifying the reason.
I have to attend a conference. Can I apply for a mobility grant?
No, conferences are not an eligible type of mobility.
What is the minimum number of hours in a teaching mobility stay (Erasmus+ STA)?
The Erasmus+ program stipulates a minimum of 8 hours of teaching per week. In case of combined mobilities: teaching and training, the minimum is halved, 4 hours.
Can I go for a teaching stay at any institution?
Teaching stays can only take place in institutions with which there is a prior mobility agreement.
I can't find the Grant Agreement template, where can I find it?
The grant agreement will be sent to you by the International Center once you have processed the required documentation before the mobility and it has been validated.
Why haven't I received the total scholarship amount stated in the Grant Agreement?
All mobility grants for URV staff are subject to IRPF/IRNR. The IRPF rate currently in force for URV staff will be the same as that applied to the payroll. The amount that appears in the grant agreement is expressed gross and the amount received is after income tax has been deducted
When should I start preparing for mobility?
It is recommended that there is at least two months between the mobility application and the planned mobility dates, although the ideal scenario would be three months. Applications are resolved once a month and all applications submitted in the previous month are resolved. Once the final resolution is made, you must upload all the required documentation to the virtual campus. Sometimes this documentation usually takes some time to obtain or needs to be amended. It is also advisable to start looking at the documentation required for mobility before the final resolution.
I want to attend a conference and would like to request mobility assistance, can I request it?
The stays may consist of attendance at Erasmus+ Staff Weeks, International Weeks, Staff Shadowing Programmes (workplace observation periods), courses, seminars or workshops. Conferences are excluded, as they are not eligible activities.
Do I have to keep receipts and invoices for expenses generated during my mobility?
No, the expenses incurred for the mobility or during the mobility are the responsibility of the beneficiary. The International Center will only request the documentation required in the call for applications.
Is it possible to attend combined courses (face-to-face and distance learning)?
In general, there is no option to attend bachelor level courses online. Only some master programmes are taugh online or mixing online and in person courses. You can also ask your academic mobility coordinator.
Is it possible for the final exams of my URV subjects to be online or by remote means?
Contact your teachers for information and instructions on which method or methods they will be using for the rest of the semester.
I am an international exchange student at the URV and I would like to stay here for the second semester to finish my mobility stay. Can I do it?
Apply for authorization from both your home university and the International Center.
Remember to follow the instructions of the authorities (about health problems, movement and travel restrictions, etc.).
If you have not done so before, contact the Embassy or Consulate of your country of origin and inform them of your period of stay and situation; so that they are aware of your circumstances.
I am an international exchange student at the URV and I would like to return to my country earlier than planned. Can I finish my exchange stay and courses from my country, through online classes?
You can follow URV activities online from your home country, if your URV academic coordinator has authorized it. Please ask for permission before deciding to return home.
If you follow the online classes and get the end-of-semester evaluation of these subjects, the whole semester will be considered in exchange in academic terms. The corresponding economic consequences related to the economic subsidy, linked to your stay, will apply. Please ask your home university.
Regarding the online assessment possibilities of your subjects, consult your URV coordinador.
What happens if I decide to cancel my mobility?
If you decide to cancel your mobility, please email us at mobility.in@urv.cat so that we can update our records accordingly.
Do I have a deadline to cancel my mobility?
Yes, if you want to cancel your mobility program at the URV, we need to know as soon as possible by emailing us to mobility.in@urv.cat
I already cancelled my mobility; will I be able to come back as a mobility exchange student next semester?
The selection process for students for the next semester/year will depend on your home university. You should check this possibility with the international office of your University.
I am following my online classes at the URV, how will my assessment be?
It is very likely that most teachers will offer continuous online assessment methods to assess your progress (submission of assignments, projects, case studies, etc.) and/or synchronous or oral exams. Please contact your teachers for information on the final assessment procedure. The possibility of a face-to-face assessment is mandatory in some subjects, and an extraordinary call (resumption) is also held in September.
I am an international exchange student at the URV and I would like to return to my country, but I cannot find a means of transport to do so, what should I do?
Please contact your country's embassy or consulate to learn about your options.
If I complete the semester online, when will I receive my transcript?
It is planned that the autumn semester will end in January and the spring semester will end in June/September, as the resit exams will be held then. Therefore, it is likely that your transcript will be ready and sent to your home university in September. If you finish your studies in June and have an urgent need to receive the file, you can contact your academic coordinator at the URV, who will be able to give you more specific information about the exact date on which the document can be prepared.
What should I do to receive the final stay certificate?
You must delay it by email to mobility.in@urv.cat when you are about to leave.
If we need to complete your own model of your origin institution, you must attach it in your application. Otherwise, insurance will be issued with the URV model.
As a general rule, mobility stay certificates issued by the URV will be based on the start and completion dates in accordance with the official academic calendar.
If you need to have a different date in your certificate:
- Justify the need to be present beyond the date marked by the official academic calendar (for example, for reasons of the start of classes, exams outside the official period or the delivery of the thesis) and the approval of the mobility coordinator.
Without this justification and approval, the dates of the certificate will not be modified.
My university has selected me for the exchange program, starting in September. Will I receive my student visa from the Spanish consulate in time?
You must consult directly with the Spanish consulate in your country. Consult the requirements and deadlines to plan in advance the process of obtaining your visa to study in Spain.
How do I complete the URV online application if I do not yet have health/repatriation insurance?
In case that you need to hire an insurance, we recommend that you upload a document in which you undertake to present health insurance once you have received official admission and the URV confirms that it will receive students in the first semester/annual periods.
What will be the academic calendar for the next year?
Each Faculty may have a different start date for the fall semester (which may vary by a week or two from September 9), which will be communicated to all admitted students by email in late July. Master's studies normally start in October. The official start date may be different, so please ask the person responsible for each Master's.
I am interested in doing an STT/STA at the URV, how can I check if I can be admitted?
We recommend that you contact the people in charge of each service/office you wish to visit. In the case of STA mobilities, it is better to contact the professor who initiated the mobility agreement. You can also ask the academic mobility coordinator responsible for your field of study. Please ask the International Center if you need more information: mobility@urv.cat
