Temporary Leave of Absence: Voluntary for personal reasons

  • DESCRIPTION: This is the procedure that must be followed by all those doctoral students enrolled on a doctoral programme, who wish to interrupt their doctoral studies for personal reasons.

Application procedure

Who

The interested party or the authorized person on presentation of the necessary identification.

Where

Via the online administrative procedures on the URV's intranet.

If doctoral students cannot carry out procedures online, they can present the application in person at the URV's General Registry or at any of its auxiliary registries.

When

At any time, as long as the student is enrolled. If the application is submitted at the latest 1 October and it lasts one year, the student is not required to register for the following academic year. At the end of the period, the student will apply to return to their studies.

How

Students must present:

  • An application send to the President of the Academi Committee of the doctoral programme.
  • A written explanation giving the reasons for the application for the leave of absence.

Observations

  • Maximum period: 1 year
  • Extendable for: 1 additional year
  • During the period that the student is in this situation:
    • Students must complete their registration unless they make the application at the latest 1 October and the leave of absence is for one year. If they do not complete the registration process, it will be assumed that they are withdrawing from the programme permanently.
    • The date on which the student must deposit their thesis will be recalculated, but this will not occur until they resume their studies.
    • Should the leave of absence coincide with the period of exams, the qualification will be: Not present due to leave of absence.
  • The secretariat of the campus/faculty/school will send the application to the corresponding Academic Committee.

Resolution of the application

Who

The academic committee of the doctoral programme.

When

When the academic committee meets, usually between the 15th and 20th of every month.

How

The academic committee, must first request the approval of the thesis supervisor, evaluate the application and, if it is valid, accept it by digitally signing the document and sending it to the Campus Secretariat..

The campus/faculty/school secretariat shall update the student's file and forward the corresponding resolution by electronic notification to the interested party. Send a copy of this resolution to the Postgraduate and Doctoral School and to the Secretary’s office of the corresponding department.

Observations

Authorized leaves of absence will not be taken into account when calculating the duration of a student's doctoral programme.
