Duration of study programme: Temporary leave of absence for personal reasons

  • DESCRIPTION: This is the procedure to be followed by people who during the course of an academic year are unable to work on their doctoral thesis for personal reasons, extendable to an additional year.

Application procedure

Who

The doctoral student or authorized persons on presentation of the necessary identification.

Where

Through the online administrative procedures on the Intranet of the URV.

Students who do not have access to the online procedures can submit their applications to the General Registry of the Universitat Rovira i Virgili University or to any of its auxiliary registries.

When

  • At any time. The duration of the period of temporary withdrawal will be one academic year (1 October to 1 October of the following year).

How

Students must present:

  • Application form addressed to the chair of the academic committee of the doctoral programme.

Cost

(*)Temporarily for the academic year 2024-25:

  • If the application is made before 1 October, the student does not need to register for the academic year 2024-25.

  • If the application is made after 1 October, the student must complete the registration process and pay the registration fee for the academic year 2024-25.

From the academic year 2025-26, if a student wants a temporary leave of absence to be recorded in their academic record, they must be registered for that academic year.

Observations

  • During the period that doctoral students are on temporary leave:
    • They must register (*).
    • The temporary leave may be extended for a maximum of one additional academic year.
    • The calculation of the maximum duration of the study programme is interrupted.
    • During the temporary leave of absence, students may still put themselves forward for assessment and the evaluation criteria may be adapted on the basis of their current situation. If, despite the adaptation of the evaluation criteria, the student is unable attend assessment, they will be given the grade of Absent due to temporary leave of absence".
    • New doctoral candidates cannot request voluntary withdrawal for personal interest as they have no previous qualifications.
    • Doctoral students who are on leave of absence will receive an email before the end of the leave period asking them if they wish to extend their leave for one more academic year or continue their studies as normal. Regardless of whether they continue the period of temporary leave of absence or not, they must register for their courses. If the doctoral candidate has already completed the two-year maximum period of temporary leave of absence, they must rejoin the doctoral programme or they will be permanently removed.
  • The Campus Secretariat will process their application with the corresponding academic committee.

                 

Resolution of the application

Who

The academic committee of the doctoral programme. In the event of an unfavourable resolution for technical reasons, the corresponding technical body, as delegated by the Academic Committee, will decide.

When

When required.

How

If the leave of absence is requested after 1 October 2024 and the student has not yet registered for the academic year 2024-25, the Academic Committee will assess the request and, if necessary, accept it. In this case, acceptance of the temporary leave of absence implies registration for the academic year 2024-25. The academic committee will sign the document electronically and send it by email to the Secretariat of the Campus/Faculty/School.

The Secretariat of the Campus/Faculty/School will the student's registration for the academic year 2024-25 and once the corresponding refund has been paid, will update the data in the file and will send the corresponding resolution, by means of electronic notification, to the interested party. It will send a copy of this resolution to the Doctoral School, to the secretary's office of the corresponding department and to the doctoral programme coordinators.

Effects on academic progresss

The duration of the period of temporary leave of absence will be one academic year (1 October to 1 October of the following year).

Observations

Doctoral students must maintain their administrative relationship with the URV by registering annually up until the moment when they deposit and defend their doctoral thesis.
