Temporary Leave of Absence: Voluntary for personal reasons

  • DESCRIPTION: This is the procedure that must be followed by all those doctoral students enrolled who wish to interrupt their doctoral studies for personal reasons for 1 year extendable for 1 additional year.

Application procedure

Who

The interested party or the authorized person on presentation of the necessary identification.

Where

Via the online administrative procedures on the URV's intranet.

If doctoral students cannot carry out procedures online, they can present the application in person at the URV's General Registry or at any of its auxiliary registries.

When

  • At any time during the academic year but no later than three months before the deadline for depositing the doctoral thesis. Doctoral students can check when this deadline is in the SAD.
  • If the application is submitted at the latest 29 September and it lasts one year, the student is not required to register for the following academic year. At the end of the period, the student will apply to return to their studies.

How

Students must present:

  • An application send to the President of the Academic Committee of the doctoral programme.

Observations

  • Students may apply for leave for a period of a year, which may be extended for an additional year.
  • During the period that the student is in this situation: Students must complete their registration unless they make the application at the 29 September and the leave of absence is for one year.
    • At the end of the period, the student will apply to return to their studies.
    • The date on which the student must deposit their thesis will be recalculated, but this will not occur until they resume their studies.
    • The leave of absence may be extended up to a maximum of 12 months more provided that the student requests the extension before the first period of leave has expired. If this is the case, the student does not need to formalize their registration.
    • If the extension to the leave of absence is not requested before the end of the first leave period, the student will have to formalize their registration.
    • During the leave of absence, the student may continue to be assessed and the assessment criteria may be made more flexible depending on the situation. If, despite the flexibility, the student is unable to sit the assessment, they will be marked as "Absent due to temporary leave". If a new student is given a grade of "Absent due to temporary leave" in the second exam session, they will have to apply to annul their registration and pre-register again.
  • The Campus/School Secretariat will send the application to the corresponding Academic Committee.

How

The Academic Committee evaluate the application and, if it is valid, accept it by digitally signing the document and sending it to the Campus/School Secretariat.

The Campus/School Secretariat shall update the student's file and forward the corresponding resolution by electronic notification to the interested party. Send a copy of this resolution to the Doctoral School and to the Secretary’s office of the corresponding department.

Observations

Doctoral students must maintain their administrative relationship with the URV by registering annually up until the moment when they deposit and defend their doctoral thesis.
