Exchange application

What should I do if I wish to make a mobility stay in the Rovira i Virgili University?

As soon as your university has informed us that you have been selected to come to the URV as an exchange student, you will receive an e-mail from us informing you about the  following steps to do:

Step 1 - Application

You have to complete the URV on-line application within the following application periods:
  • First semester / Full academic year students: from 15th April to 15th June 2017 (The applications received after this date will be considered for the second semster: Feb-Jun 2017)
  • Second semester students: from 15th September to 15th November 2017

IMPORTANT! Prepare all the documents you have to attach to your on-line registration. The documents you need will depend on your country of origin:

EU students:

- Scanned copy of your identity card or passport.

- A colour passport shape photograph of you.

- Learning agreement with the subjects you wish to study in the URV, signed by you and signed and stamped by your home university.  In the case you were coming under Erasmus Training programme, you should use the model of training agreement. Find attached all the learning/training agreement models in the right section.

- Academic transcript of records.

- Scanned copy of your european health insurance card (compulsory) and a copy of a private accidents insurance*(recommended).

- Invitation letter (optional) from your academic coordinator in the URV, in the case he/she already submited it.

*The URV takes the safety of its students very seriously. We strongly recommend that you take an accidents insurance to cover the period of your stay. We can recommend you a reasonable priced policy that covers your stay in Spain, please contact tecnico(ELIMINAR)@erv.es.

Students from outside the EU (including students from Turkey and Croatia):

- Scanned copy of your passport.

- A colour passport photograph.

- Learning agreement with the subjects you wish to study in the URV, signed by you and signed and stamped by your home university. In the case you were coming under Erasmus Training programme, you should use the model of training agreement. The URV offers the training programme SMILE.

- Academic transcript of records.

- Scanned copy of a medical and private accidents insurance*.

- Invitation letter (optional) from your academic coordinator in the URV, in the case he/she already submited it.

*The URV takes the safety of its students very seriously. It is compulsory that you take an accidents insurance to cover the period of your stay. We can recommend you a reasonable priced policy that covers your stay in Spain, please contact tecnico(ELIMINAR)@erv.es.

ID/Passport: Please bear in mind that the number you give here will identify you throughout your stay. It doesn’t matter if you decide to use your identity card number or your passport number, but make sure you use the same one all the time! The number you write in your Application Form will be the number we use for your registration and enrollment at our university!

Useful information about the Learning/Training agreement

Choose the subjects that you wish to study at the URV with the help of the academic coordinator at your home university and fill in the suitable model of learning/training agreement. You can also use the model that your university may provide you.

Models:

- Learning agreement for Erasmus+ studies

- Learning agreement for MOU studies and training

- Learning agreement for I-Global students

- Training agreement for Erasmus+ training

      

How to formalize your Learning Agreement:

  1. Fill in the suitable Learning Agreement template. Check the subjects available and if you have any doubts about your course, get in touch with us at mobility.in(ELIMINAR)@urv.cat.
  2. Print the document in three copies.
  3. Sign it and ask the academic coordinator in your home university to sign it and stamp it too.
  4. Attach it to your on-line registration.
  5. Bring the three signed copies with you when you arrive to the URV.
  6. Show your learning agreement to your academic coordinator in the URV and request his/her signature and stamp.
  7. Bring the document to the International Center for the signature of the Institutional coordinator (if requested in the learning agreement).
  8. Bring the document back to your academic coordinator for enrolment.
  9. Keep almost one copy with you to submit it in your home university when you come back home.

IMPORTANT: Do not forget to bring THREE COPIES of your Learning/Training Agreement, signed and stamped by your university, when you come to the URV, so that your coordinator at the URV can sign them. He/She will keep one of the three copies and the two remaining are one for your academic coordinator in your home university and one for you.

How to formalize your Training Agreement:

  1. Fill in the suitableTraining Agreement template. Talk to your training supervisor to get information about your tasks and schedules. If you have any doubts get in touch with us at mobility.internship(ELIMINAR)@urv.cat.
  2. Print the document in three copies.
  3. Sign it and ask the training supervisor in your home university to sign it and stamp it too.
  4. Attach it to your on-line registration.
  5. Bring the three signed copies with you when you arrive to the URV.
  6. Show your the training agreement to your training supervisor in the URV and request his/her signature and stamp.
  7. Bring the document to the International Center for the signature of the Institutional coordinator (if requested in the training agreement).
  8. Keep almost one copy with you to submit it in your home university when you come back home.

BEGIN THE ON-LINE REGISTRATION

Step 2 - Admission

Once you have completed the registration and attached all the requested documents you have to send an e-mail to mobility.in@urv.cat to inform that you completed the application. Then, we will check if the application is correct. Then we will send it to your academic coordinator/training supervisor in the URV in order to get your official admission and we will send you the admission letter to you by e-mail and also by post in the case you had to apply for a visa (non EU and Turkish citizens).

Step 3 - Preparing your arrival

A few days before you arrive the International Center team will send you an e-mail to invite you to join one of the welcome meetings. Do not forget to check your e-mail account frequently (the one you used to complete the on-line application). If you can not attend any of the welcome meetings we planned, please send us an e-mail and we will send you an appointment for a personal welcome meeting in the International Center.

When you prepare your suitcase, do not forget to bring all these documents:

  • 3 copies of the original learning agreement duly signed and stamped by your home university.
  • Arrival and/or Attendance Certificate (if your university provides it)
  • URV admission letter
